Privacy policy
What we keep, why, and what you can do about it.
Written in plain English. Last updated October 5, 2026.
The short version
- We don't record the sound of calls. We keep a short written summary.
- Customer details are encrypted on our server.
- We don't sell personal information. This website has no ads, trackers or cookies.
- Business owners can delete any request or person at any time, for good.
- Reply STOP to a text, or "stop" to an email, and we never contact you again.
1. Who we are
Boss Partners is operated by Doug OS Inc., an Ontario corporation. This policy covers bosspartnersos.com, the phone lines and website forms we answer for the businesses we work with, the owner app, and the emails our sales agent writes. We follow Canada's private-sector privacy law (PIPEDA).
2. Two kinds of people
- Business owners who sign up with us. We're in charge of their information.
- People who contact those businesses by phone, text or website form, and people our sales agent writes to on a business's behalf. The business is in charge of that information, and we handle it for them. You can ask the business or us about it.
3. What we collect
When you call or text a business we answer for:
- Your phone number.
- What you tell the front desk: your name, how to reach you, your email, your town or area, what you need (for example, your vehicle and the service you want) and when suits you.
- For an auto glass insurance claim: your insurer, claim number and deductible.
- How you heard about the business, if you say.
- A short written summary of the call. If you text, your message.
When you fill in a form on this website or a business's website: what you type, the page you sent it from, and the box you ticked to say we can contact you.
When you're a business owner: your name, phone number and email, your password (stored scrambled, so nobody can read it back, including us), a recovery phone or email, and everything you add in your app: people, notes, offers, prices, availability and edits to emails.
When our sales agent might write to you: your business name, town, website and phone number from public listings, and an email address your business published on its own website, with the page we found it on. If you're a past customer of a business we work with, the details that business already has. If you reply, we keep your address, name, subject line and the start of your reply.
When you visit this website: no cookies and no analytics. To stop people flooding our forms, we keep a scrambled version of your internet address for 24 hours.
4. What we don't collect
- We don't record the sound of calls.
- The front desk never asks for payment card details.
- This website has no ads, analytics or trackers, and loads nothing from other companies.
5. How we use it
- To answer calls, texts and website requests, and pass them to the business owner.
- To text the owner about each new request. That text has your first name, what you need, your town and the time that suits you. It never includes your phone number, email or notes.
- To write emails that the business owner reads and approves before anything is sent.
- To sign owners in and keep their accounts safe.
- To make our agents better at answering. For this we use request details with phone numbers, email addresses and names taken out.
- To bill our customers and follow the law.
We don't sell personal information, and we don't use it for advertising.
6. Who else handles it
- Our phone company, SignalWire (United States). It connects calls and texts and runs the AI that answers calls, so it hears each call as it happens. Its voice partner, Cartesia, turns the front desk's replies into speech.
- Our server host, Hetzner. Our server is in Ashburn, Virginia, in the United States. Your information is stored there, encrypted.
- Our own computers. The AI that drafts sales emails runs on our own equipment, not with an outside AI company. Email is sent and received on our own mail server.
- A payment processor, when you pay us. It handles your card, and we never see or store your full card number.
- The law. We share information if the law requires it, for example a court order.
Because our server and phone company are in the United States, courts and authorities there may be able to get your information under United States law.
7. How we protect it
- Names, phone numbers, email addresses, addresses, notes, call summaries and insurance details are encrypted on our server.
- Owners sign in with a password and a code sent to their phone. Passwords are stored scrambled.
- Each business sees only its own information.
- We check the whole system every minute.
8. How long we keep it
| Requests, people and notes | While the business is our customer, so the owner can look back. The owner can delete any request or person at any time, and it's gone for good. |
| When a business leaves | We delete its information within 90 days after its service ends. |
| Our learning copy | When a request is deleted, it's also removed from the copy we learn from. |
| Sign-in codes | 15 minutes. |
| Scrambled internet addresses | 24 hours. |
| STOP and "stop" lists | For good, so we never contact you again. |
| Billing records | As long as tax law requires. |
9. Your choices
- Ask us what we hold about you, and we'll tell you. Ask us to correct it or delete it.
- Reply STOP to any text to stop texts, and START to turn them back on.
- Reply "stop" to any email from our sales agent, and that address is never written to again.
- You can take back your consent at any time.
- We answer within 30 days.
If you're not happy with our answer, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.
10. Cookies
- This website sets no cookies. If you pick a colour in the Colours menu, your choice is saved on your own device only.
- The owner app uses one cookie to keep the owner signed in for up to 180 days, and a short one for 15 minutes while they set a password. It also remembers on the phone if the owner tapped "Not now" to installing the app.
11. Children
Boss Partners is a service for businesses. It isn't meant for children.
12. Changes to this policy
When we change this policy, we update the date at the top. If a change affects how we use business owners' information, we tell them by text or email first.
